Whether you are sourcing a hard-to-find component, an EOL part, or placing an urgent repeat order: the quality of your sourcing request determines how quickly and accurately a quote can be prepared. Providing the right information upfront eliminates back-and-forth, shortens response times, and increases the precision of results.
Why Incomplete Requests Cost Time
In day-to-day operations, requests are often submitted with the bare minimum: a part designation, a rough quantity, maybe a photo of the old component. This almost always triggers multiple rounds of clarification – causing delays of hours or even days. In time-critical procurement situations, that can mean the difference between a solution and a production stoppage.
The Complete Checklist for Your Request
The following information enables a direct, targeted search – without unnecessary back-and-forth:
Technical Identification
- MPN (Manufacturer Part Number): The exact manufacturer part number is the most important identifier. A deviation of just one character can point to a completely different component.
- Manufacturer: The brand name and, if applicable, known alternative manufacturer names (e.g. following mergers or acquisitions).
- Package / Housing: e.g. SOIC-8, TO-247, 0805 – especially important when multiple package variants exist for the same MPN.
- Revision or date-code requirements (if applicable): Specific manufacturing dates or markings that are mandatory or must be excluded.
- Datasheet or drawing: If available, please always include it – especially for special parts and mechanical components.
Quantities and Scheduling
- Required quantity: Exact unit count, broken down if needed (e.g. X units short-term, Y units mid-term).
- Desired delivery date: A date or timeframe – distinguish between "preferred" and "absolutely required".
- Target price: If a budget exists, sharing it helps pre-select suitable sources and avoids quotes you would immediately reject.
Quality and Approvals
- Quality requirements: Do specific standards apply – such as AEC-Q100 for automotive, MIL-Spec, IATF 16949, or specific temperature/humidity ratings?
- Certificates and documentation: Which documents are required for goods receipt or quality assurance (CoC, test reports, proof of origin)?
- Traceability: Is full supply chain traceability required?
Alternatives and Flexibility
- Alternatives accepted? If yes: which parameters are fixed (electrical values, pinout, package), and which are flexible?
- Validation capabilities: Can you evaluate and approve alternative proposals internally?
